5 things to check before choosing an AI tool
A practical way to evaluate workflow fit, repeatability, data handling, portability, and real cost before you subscribe.

1. Start with one job, not a feature list
Feature grids reward breadth. Business value comes from shortening a specific path from input to approved output.
Replace a broad goal such as ‘use AI in sales’ with a testable job: ‘turn this week's CRM notes into a ranked list of ten accounts for Monday outreach.’

- What must the final output look like?
- Where is human review mandatory?
2. Repeat the trial with identical material
A single impressive demo proves very little. Use the same input, request, and scorecard at least three times. Track revisions and minutes to an acceptable result, not just first-answer quality.
3. Read the policy for the product and plan
Consumer and business tiers may handle data differently. Before entering sensitive material, verify training use, retention, deletion, access controls, and contractual options in the provider's current documentation.
For example, OpenAI states that organization data from its business offerings and API is not used to train models by default. Never assume another product—or another tier—works the same way.
4. Test portability before you commit
If output cannot move cleanly into documents, spreadsheets, a CRM, or a standard file, manual work returns. Check how you retrieve templates and data if you leave.
5. Calculate payback, not sticker price
A $30 tool that reliably saves three hours each month can be inexpensive. A $10 tool nobody uses is costly.
- Monthly value = hours saved × internal hourly value
- Net impact = monthly value − total monthly cost
- Payback period = setup and learning cost ÷ monthly net impact
